A training matrix is the single most useful document a health & safety or L&D lead can maintain: a grid of who needs what training, when they last completed it, and when it next falls due. This guide walks through building one from scratch.
Step 1: List every role, not every person
Start with roles, not individuals — people move, roles persist. For each role, capture the statutory, sector and organisational training it requires.
Step 2: Map training to each role
Separate mandatory training (fire safety, manual handling, first aid provision) from role-specific and desirable CPD. Note the renewal interval for each, since that drives your review cycle.
Step 3: Track completion and renewal
Record the completion date and calculate the next-due date automatically. Colour-code by status — current, due soon, overdue — so gaps are visible at a glance.
Step 4: Evidence CPD
For accredited CPD, retain certificates against each entry. A matrix that links to the underlying evidence turns an audit from a scramble into a five-minute export.
